Book Direct or Through a Platform?

Short answer — A platform provides visibility and simplifies some administrative formalities. Booking direct costs the organiser less and allows the stay to be adapted even before arrival. Both routes work. The difference comes down to what you prioritise: convenience or margin.


What we observe

Fabiana has been guiding retreats for twenty-seven years, from Guadeloupe to Costa Rica before Portugal. What we observe here is not market research: it is what organisers tell us, stay after stay, and what we see for ourselves in the conversations that precede a booking.

Platforms dedicated to retreats have multiplied over the last ten years. They have made it easier to discover venues like ours. They have also introduced an extra layer between the organiser and the venue. This article looks at what that layer changes for you, in concrete terms.


How the commission model works

Retreat platforms generally take a commission on each booking. The percentage varies depending on the platform and the agreements in place, but the basic principle stays the same: the organiser or the venue pays for every transaction that goes through the platform.

This cost is passed on in one way or another. Either the venue raises its rates slightly to build in the commission. Or the organiser pays the difference directly at the time of payment. In either case, the amount that reaches the venue is less than what the organiser has paid out.

To give a concrete example: at Casa Lotus Azul, the organiser package is offered at €4,480 for eight people over five days and four nights, which works out at €560 per participant. For instance, a commission of 15 to 20% would come to between €672 and €896 on a booking of this amount. That sum creates no additional value for your group. It serves only to pay the intermediary.

If you resell your programme at €850 to €1,200 per participant — which is what organisers generally charge — every euro of commission is a euro that comes straight out of your margin.


What a platform actually offers

It would be inaccurate to reduce platforms to a mere cost. They provide real services, particularly for organisers who are starting out or who are looking to try out a venue they do not know.

Visibility. A platform that ranks well in search results puts your retreat in front of potential participants you would not have reached on your own. If you do not yet have an established contact list, that access to an existing audience can justify the commission.

Payment handling. Some platforms centralise payment collection, reminders and sometimes refunds. For an organiser running their first retreat, handing over this administrative work has real value.

Perceived trust. A venue listed on a well-known platform inspires initial trust among participants who do not know you yet. The platform's logo acts as a signal of reliability.

Contractual protection. Some platforms offer standardised cancellation terms and mediation in the event of a dispute. That is a safeguard you will have to manage yourself when you book direct.

These advantages are real. The question is whether they are worth the cost in your particular situation.


What booking direct makes possible

Booking direct, by WhatsApp or email, removes the commission. But that is not the only advantage.

Adapting the stay. When you contact us directly, we can adjust certain things before you even arrive: meal times, how the spaces are arranged, any dietary requirements within the group. That flexibility is harder to achieve through a platform, where the booking often standardises what should remain adjustable.

The relationship before the stay. Fabiana takes the time for an initial conversation with each organiser. That time is used to understand what you bring to your group, how you would like the silence to be introduced, and what you expect from a complimentary guided meditation. This conversation does not take place through a messaging interface built into a platform. It happens here, directly.

Full transparency on prices. What you see is what you pay. There are no service fees added at the final step of the checkout process. You know the exact amount from the very first exchange.

Special conditions. The conditions offered to the organiser and the practical arrangements — arrival, any deposit, dietary requirements, use of the spaces outside group hours — are discussed directly. A platform applies uniform rules. Direct contact allows for discussion.

The question of margin, put plainly

You resell your programme at €850 to €1,200 per participant. The venue costs you €560 per participant. The difference — between €290 and €640 per person — funds your work: designing the programme, communications, support before and after the stay, exchanges with each participant.

A 15% commission on the venue cost would represent €84 per participant. For a group of eight people, that is €672: a sum that could fund part of your communications.

The point is not to condemn platforms. It is to make visible a calculation that many organisers do too late, once they have already committed to the booking.

Below six participants, a retreat generally becomes difficult to balance financially. Falling below that level weakens the business model. A commission taken upfront reduces the margin without lowering that threshold.


When a platform remains the right choice

There are situations where going through a platform makes sense, and we would rather say so clearly.

If you are organising your very first retreat and do not yet have a list of participants, a platform's audience can make up for a lack of name recognition. The cost of the commission then becomes an acquisition cost, comparable to advertising spend.

If you do not yet have an administrative set-up to handle payments, delegating that part to a platform makes real practical sense. Better a successful booking with commission than a missed booking for lack of a payment tool.

If you are testing a new geographical market — for example English- or German-speaking participants you are not yet reaching — a platform with an international audience can open doors that direct contact would not.

In these three cases, the commission is justified. The rest of the time, booking direct is more advantageous.


What happens in practice when you book direct

We discuss the available dates; the calendar shows the retreats and events already scheduled. Together, we clarify what the package includes — the hall, the nights, plant-based full-board meals and a complimentary guided meditation for the group — and what can be adapted to your group, such as the level of silence or disconnection.

The organiser package includes a complimentary guided meditation for the group. For other guided sessions with Fabiana, ask her directly.

Practical arrangements and any special conditions for the organiser are addressed at this stage, before any commitment is made. Allow up to 48 hours for confirmation.

What you need to check before choosing your channel

What the venue cannot do for you

The quality of a retreat depends on the venue, the meals and the supervision. It also depends on the quality of your programme, the selection of your participants and the support you provide before and after the stay.

No platform does that work for you. Nor does booking direct. The visibility a platform brings does not replace honest communication about what you offer. Direct contact with Fabiana does not replace the clarity of your own offer. It is also up to you to inform your participants: in the event of a recent bereavement, a separation or psychological fragility, it is best to speak to a health professional before booking.

For a different group size, tell us about your project: exclusive use of the venue is planned together with you. The break-even threshold for an organiser is generally estimated at six participants.

What happens if a participant has to cancel after booking? Cancellation terms vary. When you book direct, they are discussed with us before you commit. Through a platform, they are set by the platform and apply uniformly.
